Gigabytes of data and hundreds of unresolved issues are the reality of many projects.
I'm sure everyone who works with large-scale engineering facilities has faced this nightmare at least once in their life: you click "Open file" – and go make coffee... And when you return, you see that the BIM model is still loading.
When a file weighs gigabytes and contains absolutely everything – from deep detailing, rebar and MEP to system settings, graphic layouts and hundreds of sheets – work turns into a test for your nervous system. Making a minor change, checking a clash or simply opening the required 3D view becomes slow, difficult and sometimes downright impossible due to severe freezing.
And the first question we want to ask the professional community is:
How do you and your teams handle such "unwieldy" BIM models when deadlines are pressing from all sides?
Let me tell you about our US data center case and how we are trying to solve this.
Recently, we faced this exact challenge. Our current project is a huge data center in the US. The facility is divided into three parts and one of them alone involves a massive, extremely heavy dataset. It's worth noting one important detail about how we work. Our team doesn't always enter projects at the very beginning when proper file hygiene can be established right away. Very often, we are brought in when the project is already in a critical phase – when it needs urgent "saving," closing issues, making operational decisions, clearing out accumulated "junk," and delivering results here and now. In the case of the data center, the main headache was as follows:
- Colossal loss of time. To address local issues (notes/problems on individual nodes), a specialist spent more time loading and navigating the heavy Revit model than actually solving the engineering task itself. Moreover, most of the time was spent on these exact things instead of actual direct work.
- Not enough hardware. Even our team's powerful workstations and top-tier computers couldn't withstand the system overload of the file.
- Immovable stakeholder schedule. Builders need the project to stay on schedule to receive timely payments, investors are tracking their return-on-investment timelines, and tenants are planning to move into their server spaces strictly on a set day. A delay caused by a 'heavy file' isn't an excuse stakeholders will accept.
We're still identifying bottlenecks and testing solutions, but I'll tell you about one of them. We took a critical look at the process: why reload absolutely all links, worksets, finalized sheets and heavy geometry in Revit if an engineer only needs to resolve one specific node at a local spot? Everyone knows that in Navisworks, coordination and model aggregation happen several times faster and the 3D model itself navigates easily and smoothly. Revit, on the other hand, is an environment where direct corrective work takes place and documentation is produced.
Our developers and BIM specialists took the initiative and developed a custom internal plugin (app) to save time. How it works:
- The engineer finds the necessary local problem in the lightweight Navisworks model.
- Using the app, they select only the elements required for this task and execute an instant pinpoint export directly into Revit.
- In Revit, only the required local context is loaded – almost instantly!
The results and the numbers behind them:
Right now, this tool and process are at the stage of active internal testing within the team, but the first numbers are impressive:
- Speed is several times higher. Time spent resolving a single local issue dropped several-fold simply by eliminating the wait for heavy data to load.
- Ease on systems. Even on computers with simpler configurations, average operational lag disappeared when performing the previously described actions.
- Scalable effect. If you multiply the saved 15–30 minutes per issue by dozens of specialists on the team and hundreds of daily edits – we get hundreds of man-hours of net savings for the client!
We managed to optimize processes and speed up task execution even without the ability to change the global structure of the project from the very beginning. I think in the near future we will be able to share a full release and details of this solution. In the meantime, we continue testing the solution further.
